Construction materials checklist template.

List materials for a job, keep each entry tied to its source, and mark what still needs checking. Quantity and supplier price cells start blank for you to complete.

One worksheet, eight columns and 30 blank starter rows. Add more rows for your job. There are no prefilled materials, quantities or prices, and no formulas or totals. Download it directly; no account or email is required.

Keep the source beside the material.

The Materials checklist worksheet has these eight columns. Use one row per item and location so different specifications or open questions stay visible.

Material / specification

Name the material and the specification stated in the documents. Keep an unclear size, grade or finish open for confirmation.

Source document / sheet

Record the drawing sheet, specification section or other source for the entry. Include its revision when relevant so someone else can check the same reference.

Location / area

Identify where the material belongs. Keep separate areas on separate rows when their requirements differ.

Quantity to verify

Enter your own quantity after checking the source or completing a takeoff. This cell starts blank; the workbook does not measure the drawings.

Unit

Record the unit that goes with the quantity, such as each, linear foot or square foot. Confirm that it matches the supplier pricing unit.

Supplier unit price

Enter a price from your own supplier information or quote. The cell starts blank; no material prices are supplied.

Verification status

Choose Needs confirmation, Verified against source, Supplier quote needed or Not applicable. A status records your review; the workbook does not verify an entry for you.

Notes / questions

Keep the unresolved question, clarification or next action beside the material. Record who needs to answer it and any quote or document reference you need to retain.

Fill the list, then work through the open items.

1

Start with the current documents.

Save a copy for the job. Read the drawings, specifications and addenda, then enter each supported material with its source and location.

2

Check quantities, units and prices.

Add your own verified quantities and supplier prices. Match the pricing unit to the quantity unit, and leave unsupported values blank.

3

Resolve the questions.

Use the status and notes columns to keep missing details and supplier questions open. Update each row after checking the answer against its source.

A blank checklist needs your review.

This is a place to organize your materials review. It does not extract quantities from plans, supply market prices or calculate a bid. Verified against source means you checked the entry against its reference; it does not establish a current supplier price or resolve an unanswered scope question.

Final quantities, pricing, code requirements and submission remain your responsibility. For an example of filled-in bid-prep materials, see the sample Bid Packet and its source notes. The blank workbook is a separate resource for you to fill in.
